Area
Measurement Tool
This tool allows you to measure the area of a surface.
To begin, choose the scale with the drop down menus
at the top right of a drawing. Next, click on the Area
Measurement icon, which is left of the 123 counting
icon. Use your mouse to click on the first and second
points of the area, then either click again for the
third or double click for the final vertex. The area
measurement you have selected will appear as an annotation
at the bottom of the screen.

Bulletins
At any time, you can print out a bulletin showing the
current projects in our planrooms.
Click on “Bulletins” from the black menu
bar. Choose the type of bulletin you would like (by
clicking in the box beside the type(s) you prefer):
projects (bulletin), tender report, awarded report,
cancelled report, or the bid calendar. Click on the
region you would like to print the report for (SICA).
And click on “Okay”.
Or you may prefer to use the one of the pre-made searches
under “My Searches”. Here you can access
reports on all current projects, projects in certain
regions only, new in the last 24 hours or 7 days, etc.
Click on the search you wish to run. When the results
display on your screen, click the “Activity Manager”
icon at the top, select the projects you wish to have
in your bulletin (all or just some). Click “Show
Report”. Review your results on screen, or use
the “Print Page” icon to print the report.

Counting
Tool
The Viewer has a tool that permits the user to easily
count items. The results are tabulated in a table at
the bottom of the screen. Results can be copied or transferred
to a spreadsheet or estimating program.
-
Select the tool to count items. Click once on each
item to be counted. Double click on the last item
to be counted to complete the count
-
When counting items a marker is left to indicate an
item has been counted.
-
When the last item has been counted (with a double
click) the information is tabulated at the bottom
of the screen. Use the F3 key to turn the table display
on and off.
-
To delete an item, select it and when it is highlighted
you can delete it.
-
When moving to another drawing in the set you will
be given the option to save your annotations (counts).
If you select "Yes" they will be available the next
time you open the drawing. If you select "No" they
will be deleted.
-
When the counting has been completed, the information
is tabulated at the bottom of the screen. A detailed
description relating to the measurement can be added
by clicking on the Description box in the table.
-
To Copy or Export your data, select any item in the
table. Right Click to open the menu and select your
option or select the icon.
-
Select your Format option. For example to copy to
an Excel worksheet select Tabbed Delimited Text.
-
Select your Export option. Copy to a File or to the
Clipboard.
-
Open a worksheet and Paste the information into your
worksheet. You can now utilize the data in your spreadsheet
or estimating program.
Download
Plans to Your Computer
You can download plans from the Online Planroom easily.
We would suggest that you first create a folder named
for the project in your “My Documents” folder.
Saving to this project folder will avoid any mix up
of plan pages with any others you might have downloaded
previously, or will download in future.
- From
the Documents tab click the checkbox(s) to the right
of the document you want and click on the Download
button at the bottom of the page. If you find that
the download screen is not appearing correctly on
your screen, you may have your computer set to block
popups. If you allow the popup, the download screen
will then appear, allowing you to choose the location
for your selected file to download to.
OR
- Use
the Download Manager from the Plan Viewer screen.
Open one of the plans, when the plan has finished
loading, from the “view” menu on the Plan
Viewer toolbar, click on “Download Manager”.
The Download Manager will download the file to your
“My Documents” folder. You can either
save specific plans by clicking in the checkbox next
to the plan description, or click on the “all”
button to save all of the pages. After choosing which
pages you require, click on the “download”
button. A save screen will open; double-click on the
project folder you created for the files, and save.
With the files saved to your harddrive, you will be
able to select any of the printers that you may have
hooked up to your computer, rather than only being
able to select the default. If you have special estimating
software, you will most likely be able to import these
files into your program. If you are going to use the
Download Manager, be sure to delete the project files
from your harddrive once you have finished with them
to avoid memory issues.

Estimating
Software – Use It With The Online Planroom
Documents posted to any Online Planroom or PlanSource
application provided by Infinite Source are posted in
an industry standard TIFF format, which is compatible
with any estimating software package. To download the
documents into your software package: from the documents
tab, select the drawings you need by clicking on the
checkboxes next to their description, click download,
then save to the desired folder.

Favorites
Option
Have you discovered the incredibly useful “Favorites”
option in the Online Planroom? This great feature allows
you to quickly access a project, without having to remember
its project number. If there is a project that you want
to refer back to frequently, after opening it, click
on the “add to favorites” icon. You will
now have a hyperlink to the project on your main page,
under the “my projects” heading. Simply
click on the project hyperlink the next time you login,
and you will jump right to the project! When you no
longer need to access that project, click on the folder
icon to the right of the hyperlink to remove it from
your list, or when you have the project open, click
on the “remove favorite” icon. And don’t
forget, if you have any questions, your local SICA staff
would be more than happy to help you!

Forgot
Your Login?
You’ve always known that you can call SICA if
you forget your password, but have you noticed this
feature on the Online Planroom? When you select the
black login button, you will notice the words “I
forgot my login” underneath the login/password
box. If you click on this hyperlink, an email will be
sent to Infinite Source. They will look up your login
information and send you an email with the information.
Now you have two options when you’re facing the
login box and you’re stumped – call SICA
or email Infinite Source!

Java
in the Online Planroom
As most of you are probably aware Microsoft has released
its latest operating system called Windows Vista. Infinite
Source has been testing the implications and the most
significant issue is that Vista does not support Java
1.5 or less. This has forced Infinite Source to make
a modification to the way the viewer handles Java. As
each user’s system now needs to be checked when
they first log into the application, a small routine
has been created which will install a cookie that remembers
the version. The only implication for Users is that
the main page will be slightly slower loading the first
time they log in. If they have version 1.4, 1.5, or
1.6 the viewer will launch normally. If they clear their
cookies they will experience the same Java check when
they next log in. This will avoid everyone having to
once again upgrade their Java versions.

& Password
If you have multiple staff members from your company
accessing the Online Planroom (ie: estimators, project
managers, assistants), each one should have their own
login and password. By each user having their own account,
your staff don’t waste valuable time waiting for
access to the Online Planroom if another staff member
is already logged in. The Online Planroom is included
in your dues – make sure you are making the most
of it! And don’t forget, if an employee leaves
your company, let SICA know so that the user account
for that person can be cancelled.

Logging
Off the Online Planroom
Have you experienced problems logging in to the Online
Planroom? Are you aware that you have to “log
off” the Online Planroom? Occasionally, members
don’t log off the Online Planroom when they have
finished their session, instead they just click on the
“X” in the top right corner. Unfortunately,
if a user does not log off correctly, the system may
not register the fact that they have closed their session.
Then, when the user tries to log in again, the system
will not let them in, as it thinks there is a session
already open. So, to avoid being locked out of the Online
Planroom, be sure to always click on “log off”
(located on the black toolbar) when you want to end
your Online Planroom session.

Maintenance
Users should regularly (weekly) delete cookies and temporary
Internet files from their computers. These are stored
on your computer when using the web. First open your
internet browser, click on Tools, Internet Options,
Delete Cookies, and Delete Files (be sure to check off
the box next to “Delete all offline content”
as well). Then close down your browser and open again.
This will help alleviate unusual problems & glitches
when using the system.

Measuring
The Viewer has tools that permit the user to perform
various scaled measuring functions. The Viewer highlights
the areas that have been measured. The results are tabulated
in a table at the bottom of the screen. Results can
be copied or transferred to a spreadsheet or estimating
program. NOTE: The accuracy of measurements is dependant
upon the ability to precisely click on a specific pixel
and as such should be considered approximate. Always
check a stated measurement to confirm the level of accuracy
is suitable for your intended purposes.
-
Select the tool to measure a linear distance. Click
to start measurement. Click again to end measurement.
-
Select the tool to measure a linear distance of multiple
continuous segments. Click to start measurement, click

"Missing"
Documents?
When you go into a project, do you have trouble viewing
the latest additions to documents, ie: new addenda?
Are you running an old version of Internet Explorer?
If so, you may be having problems with your cache. Some
versions of Internet Explorer are more likely to access
"stored" pages of a website, rather than accessing the
current page. If this is happening to you, you need
to clear your cache. From the Internet Explorer toolbar,
select Tools, Options, on the General Tab, select Temporary
Internet Files, and Delete. Make sure you check off
the box "Delete all Offline Content". For best results
do this twice. If this is an ongoing problem for you,
you may wish to upgrade to a newer version of Internet
Explorer, as this conflict seems to have been addressed
in later versions.

Notification
Subscription
So, you’ve found the project you need, and maybe
you’ve even favorited it, but how are you going
to know when an addendum gets posted? Save yourself
the trouble of checking that project everyday, or several
times in the same day! Click on the “Notification
Subscription” icon and save yourself time and
effort. By using this fabulous feature, you will receive
an email from the Planroom system when new documents/addenda
are posted, and the email will tell you what has been
added. How can you beat that? Be sure to use this very
helpful feature and keep up to date on your projects!

Opportunity
Matching Tool
Infinite Source has given the Online Planroom users
a handy feature – Opportunity Matching. This tool
finds projects containing keywords of your choice. The
system will then notify you by email each morning of
any new projects that contain your keywords. How cool
is that? From the main page after logging in, scroll
down to the “Manage My Account” heading
and choose the “Edit Opportunity Matching”
hyperlink. Add your keywords (up to 10), and let the
Online Planroom work for you!

Ordering
Plancopies Online
Once you have finished selecting the documents you wish
to order by clicking in the check box adjacent to the
document, then select the order button at the bottom
right hand corner of the page. A Billing Address page
will appear; confirm that your information is correct,
if it is not please change the appropriate fields, then
click “Save & Continue” at the bottom
of the page. The Shipping Address page will appear;
select “yes” or “no”. If “yes”,
then click on the “Save & Continue”
button. If your shipping address is different than your
billing address, select “no”, and click
the “Enter Shipping Address” button. Complete
the shipping address form, click the “Update”
button, and then click the “Save & Continue”
button. The Print Options page will appear. Here you
will select at least one set of documents and/or drawings,
select the page size in the appropriate field, select
the appropriate binding from the drop down list, and
select the shipping method from the drop down list.
If you select “Other Shipper”, please enter
the shipping company’s name in the appropriate
field, enter your account number for the selected shipper,
and enter any special shipping instructions, such as
the telephone number of the shipping company. Enter
your PO or reference number if applicable, and add any
special instructions in the note field, such as special
delivery instructions. Click the “Save & Continue”
button. The Confirm Order Details page will now appear;
check over the information displayed, and if there are
no changes to be made, click the “submit order”
button. If changes to the document selection are required,
click on the project link in the upper left corner of
each page. Following a successful transaction completion,
a receipt page will be displayed. This page can be printed
for record purposes. If the transaction failed, a “Failed
Try again” message will appear.
To check on the order status, click “Orders”
on the top black Menu bar. In “Print Order Browser”,
click “View” to display the order.
If the order is not to be submitted immediately, it
can be returned to as long as the user does not log
off the site. To return to the Order form, go to the
Main page and click on the shopping cart icon. If the
user logs off before completion, the order will be lost.
PDF
Search Tool
Here is a helpful hint for using the PDF search tool.
If you are looking for a specific topic like ‘separate
pricing’, use an underscore between the words
(‘separate_pricing’). The system will treat
your words as one, and therefore narrow the number of
results to those containing those exact words. The search
tool is like the one used by Google, which will return
any part of a combination of the words you type in,
so don’t be surprised if you get a rather large
result for multiple word choices. The underscore is
a good time saver.

Planrooms
Tab
When looking at projects on-line, if you click on the
Planrooms tab, you will be able to see which planrooms
have the documents and which bin location the documents
have been put in. If you are interested in a project
that is not in your local planroom, and either Kelowna
or PlanroomServer are listed, Kelowna can print copies
for members. If you supply the Kelowna office with a
list of which drawings you want, and the full project
name, we can get copies out to you - even if we don't
have a physical set of plans in our planrooms.

Preferences
When you login to the online planroom you are on the
Main page. If you scroll to the bottom, on the left
side of this page you will see Preferences: change email
address; change password. You can change your email
address here or your password at anytime.

Printing
You can print any document posted on the Online Planroom
- you are only limited by the size and capabilities
of your printer. (The simplest means to print if you
have a Hewlett Packard printer is to use the HP Instant
Print tool.)
NOTE: When printing to 8 ½ x 11 paper, you will
achieve the best results by setting the page to print
as a landscape image (vs. portrait).
-
Select the Print button to print the image on the
screen.
-
Select the Print Preview button to preview an image
and adjust the print settings before printing.
-
If you wish to print a portion of a page rather the
entire image, zoom in on the section you wish to print.
Select either Print or Print Preview. You will see
a message that says “zoom out to print the entire
image”. To print only the zoomed portion select
“No”.
-
Make your adjustments to the print properties from
the Print Preview Pane.
-
The settings available to you are a function of your
local printer.
Printing
Problems
Occasionally, you may run into printing issues with
your printer's ability to handle all of the files we
host. If it prints in garbled characters, it's probably
a driver issue with "Postscript". Check the "Print As
Image" box on the Print dialogue to correct this. Blobs
mean you don't have the right font. Select Properties
beside your printer, Advanced Tab, and check Font Embedding.
Then you get the fonts for that job. If the print job
seems to stall, it may be too large for your printer's
memory. Try a smaller print job. If you try to print
large drawings to a much smaller size, you may get mixed
results. If you're plotting, keep in mind these are
Raster files and set your printer accordingly. To speed
printing, you can select a lower resolution such as
200 dpi.

Printing
Acrobat Files
From time to time you may wish to print project addenda,
or specifications that have been saved in pdf format.
After opening the file, remember that you will need
to use the Print option from Acrobat. If you try to
use the print icon on the Internet Explorer toolbar,
you will get a blank page with the website address only,
rather than the document you were expecting! You can
either use the File, Print option from the Acrobat toolbar,
or your Print icon on the toolbar - but make sure you
are within the Acrobat viewing window. Also remember,
if you are running the full version of Acrobat 5.0,
it may take a while for the file to be sent to your
printer - do NOT close the window until you know the
file has fully transmitted (you can minimize the window
if you like).
Top
Printing
to 11 x 17 or Larger Sheets
Tthe Plan Viewer will only recognize your default printer
and will only display the selected standard paper sizes
registered to that specific printer driver. If you have
more than one printer connected to your system (ie:
a regular printer and a plotter), you may need to temporarily
change your default printer before logging in to the
Online Planroom - don't forget to change it back after
you are done printing your drawings!
You may also find that although your printer supports
11x17, a different description may pop up depending
on what the printer manufacturer has chosen to call
that paper size. Some alternatives may be: A3, B, Tabloid
/ Ledger, 279.4mm x 431.8mm. So if you don't see 11
x 17 and you know your printer supports it, look for
one of these other descriptions.
Alternately, if it is inconvenient to change your printer
each time, you can make use of the Download Manager,
under the "view" tab (after opening plan viewer). The
Download Manager will download the file to your "My
Documents" folder, with the file names based on the
description of the plan page. If you wish to make use
of this, we would suggest that you first create a folder
named for the project in your "My Documents" folder.
By saving to this project folder you will be able to
keep the plans straight. With the files saved to your
harddrive, you will be able to select any of your printers
that you may have hooked up to your computer, rather
than only being able to select the default. If you are
going to use the Download Manager, be sure to delete
the project files from your harddrive once you have
finished with them to avoid memory issues.

Project
Sheet View
You have the option of seeing the standard view or the
project sheet view from the projects page. If you click
on “tab view”, the project will open with
all of the “tabs” showing – general
information, tendering authority, planholders, etc –
just like you used to see. If you click on the symbol
below that, you will be taken directly to the “project
sheet”. This sheet summarizes the information
for the project onto one page that you can print if
you wish. A link has also been added at the top of the
project sheet (“view documents”) that takes
you to the documents tab of the “tab view”,
so that you can quickly access the documents.

Project
Tracking Features
How are you keeping track of the projects you are interested
in? Did you know that the Online Planroom provides you
with 3 features to help?
- Add
Favourite – this option will add a quick link
to the project from your main login screen. As well,
watch for an icon to appear on the left hand side
of the link – this means that there has been
an update to that project since the last time you
logged in!
-
Notification/Project Subscription – this option
will subscribe you to a project. When you have subscribed,
you will receive an email from the system if documents
have been added to the project, such as addenda. This
is a great way to know when important changes have
been made to the project.
-
Project Reminder – this great new feature allows
you to set reminders to yourself for a project. Maybe
you need to follow up with a supplier in regards to
pricing for a project – set your reminder for
the day you need to do the follow up, and when you
log into the Online Planroom that day, a message box
will pop up.
There are two easy ways to set these options for a project:
-
From the Activity Manager – choose one of the
preset searches, or create your own; when the list
appears, click on the Activity Manager button above
the orange bar near the top of the screen, click on
the box beside the project(s) you are interested in,
then click the feature’s link in the box above
your search results. Way easy!!
-
From the Project – open the project you are
interested in (you can choose any of the 3 offered
views: view tabs, view documents, or view project
sheet), click on the icon of the feature(s) you wish
to set for the project (above the orange bar near
the top).
Make sure you are using the tools provided to stay up
to date on all of your projects! And don’t forget,
if you are accessing the plans online rather than obtaining
a set from the Issuing Authority and want to make sure
the trades/suppliers know that you are bidding, be sure
to call SICA to have your company added to the planholders
list.

Receiving
On Line Ordered Documents
Once you have finished selecting the documents you wish
to order by clicking in the check box adjacent to the
document, then select the order button at the bottom
right hand corner of the page. An order details page
appears and confirms your order and the pricing. Make
sure to check your quantities and selected items before
clicking on CHECKOUT. The X allows you to delete items
you have selected by mistake. Your shipping and billing
addresses are displayed. Please make changes if necessary.
Your pricing details, including taxes, are confirmed
on this page. At the bottom of the page there is a NOTES
box. In this box you are able to add any special instructions
you may have. If you require your drawings to be couriered,
you must type the instructions in this box. Please include
which courier company you would like us to use as well
as your account number. This must be done each time
you require your order shipped. Now your order is ready
to be sent, click the Checkout button to place the order.
A receipt is produced. Print a copy for your records.
Once your order has been printed you will receive another
email telling you that changes have been made. That
indicates that your order has been printed and is ready
for pickup.

Scroll
Wheel
One of the features of the Online Planroom is the ability
to use the mouse scroll wheel to zoom in the drawing
viewer. At SICA’s request, Infinite Source added
this feature to make the Online Planroom more user-friendly
and valuable to you. This will be a great bonus to those
who use the measuring tools, as it allows for easier
navigation and more accurate placement of the measuring
points. The size of the annotation markers (the little
blue squares) that mark the points on a measurement
have also been modified. They are a little smaller,
which will make for better viewing of them when zoomed
out. So, if you have a scroll wheel on your mouse, why
not try it out the next time you are in the plans viewer?

Searching
Depending on what criteria you enter when doing a search,
you may find the result is a list of projects (ie: new
today, or project descriptions containing the word "hospital").
If you click on "view" to see a project, you lose your
search results. If you would like to keep your search
results available (so you won't have to re-enter your
criteria), instead of clicking on "view", place your
cursor over the word "view" and right-click - this will
give you a list of options, select "open in new window".
The project will open in a new window, in front of your
search results. When done viewing the project, close
the window (click on the "x" in the top right corner
of that window), and your search results will be displayed
again. Make sure that you close the windows as you are
finished with them, or they could use up to many computer
resources, or cause confusion later on.

Searching
for Projects
There are several options to search for and work with
project information. On the Main Page click on Project
Quick Search to open a list of criteria that you can
select from. Once your criteria are selected click on
the Search button to display a list of all projects
matching the criteria. Click on the Activity Manager
icon on the top right of the page to print a report
of all the information for your selected projects. The
Activity Manager also allows you to Subscribe for Email
Notices of new information (such as Addenda) or add
projects to your desktop as Favourites for multiple
projects at once.
If you regularly search for projects matching the same
criteria use the Build a Search menu at the top to open
a page where you can create and save your own customized
searches. Once saved the search will display in the
My Searches list on the Main Page when ever you login.

Search
for Low Bid and Awarded Projects
Select Search from the tool bar, select the Region the
project is located in, and change the Status to either
bid results or awarded. If you are searching for low
bid information, select bid results from the Status
picklist, then click the search button at the bottom.
You will get a list of projects that are closed but
not awarded yet. Find the project you are looking for,
and under the Planholders tab, the bid amounts that
we have received will be in each company’s box.
If there is nothing listed, we have not obtained that
information yet. For awarded projects, under Status
select awarded, then click the search button at the
bottom. Find the project you are looking for, and under

Server
Timed Out Error Message?
When you login to the Online Planroom do you receive
a “server timed out” error message? If so,
you are experiencing a classic cache problem and will
need to modify your Internet Explorer settings. To avoid
your browser displaying stored information rather than
new information, with the browser open, from the toolbar,
select “Tools”, “Internet Options”,
this should open to the “General” tab. Under
the “Temporary Internet Files” section of
this tab, click on “Settings”. When the
settings box opens, under “Check for newer versions
of stored pages” select “Every visit to
the page”. This will ensure that your browser
accesses the newest information on the page, rather
than resorting to pages it may have stored on your harddrive.

Status
of Plans
Wondering what the status of plans online is? Are they
being scanned? In the planroom only? When you login
to the planroom projects listing, on the upper right
side, beside the closing date, under the heading Doc
is one of the following codes :
S=in
Scanning
P=Planroom only
A=Architect only
?=Status to follow
N/A = Docs will not be in Planrooms
When
you are in the project, you can find the same information
on the Document tab. If the documents are not currently
online, one of the above codes will be in the box. The
code will let you know if the project information is
going to be posted online.

Using
Project Quick Search
To assist you in finding projects faster, on the main
page of the Online Planroom you will find a “Project
Quick Search” option. This new option incorporates
the features from the basic search directly from the
main page, rather than having to access another page
first. You can search by a keyword, project number,
type of trade, project location, or type. As well, you
can now specify your own dates for “new from”
or “update from”, to get information on
the newest projects or updated projects. Or maybe you
would prefer to search by general closing date, if so,
just enter your date criteria and click on search! Don’t
forget, you can save your search criteria if you wish
by clicking in the box next to “remember my search
criteria”. Want to clear your saved search criteria?
Just click on the “reset” button.
